The 5-Minute Audit: Is Your Proposal Data Actually Usable?

Most firms don't have a proposal problem. They have a findability problem that looks like a proposal problem.

The writing usually isn't the bottleneck. What eats the time is everything that happens before the writing: digging up the last comparable project, tracking down a current resume, remembering which reviewer note from last quarter actually matters this time.

Here's a quick way to check where you actually stand. Grab your next RFP, or think back to your last one, and run through this.

The audit

1. Can you find your last three comparable projects in under a minute?

Not "you know they exist somewhere." Actually pull them up (descriptions, outcomes, standout numbers) in under 60 seconds. If this takes a phone call, a Slack message, or a folder-by-folder search, this is your biggest time sink and you probably don't even notice it anymore because it's just "how proposals work."

2. Are your team resumes current, in one place, right now?

Not as of the last time someone remembered to update them. If pulling together a project team means pinging five people to check if their bio still reflects what they're working on, that's hours added to every single submission.

3. Do you know why you won your last three proposals, or lost them?

Most firms can tell you the outcome. Far fewer can tell you the actual reason. Was it price? A standout project reference? A relationship the client already trusted? If nobody wrote it down, that knowledge leaves with whoever was in the room.

4. Is your boilerplate actually current?

Company history, differentiators, safety record, certifications: if any of it was last touched more than six months ago, someone is either using outdated language or spending time double-checking it every time. Neither is good.

5. Could someone other than your best proposal writer put together a strong first draft?

If the answer is no, your process depends on one person's memory instead of your firm's actual track record. That's a risk, not just an inefficiency.

What the answers tell you

If you got through that and felt pretty good, you're ahead of most firms. Your bottleneck is probably just volume, not organization.

If a few of these made you wince, that's normal. This is the most common gap we see, and it's rarely about talent or effort. It's that project history, past proposals, and win/loss reasons live in someone's head, an old folder, or a dozen different inboxes instead of one place anyone on the team can pull from.

The fix isn't a bigger team or a faster writer. It's making the information you already have actually usable, so the next RFP starts from your best work instead of a blank page and a guess at what worked last time.

Pick whichever question above stung the most, and start there. That's something you can do today with what you already have. When you're ready to go further, that's the kind of work we do at Arvaya: turning scattered project history into something your whole team can actually use.
