How to Leverage AI at Work Without Buying Anything New
It's Tuesday afternoon. Someone on your team just spent 40 minutes turning meeting notes into an email, then copied the same action items into the project tracker, then messaged three people for updates that already exist in a thread somewhere.
That's exactly the kind of work AI was built to take off your plate. But search "how to leverage AI" and you'll get the same advice everywhere: pick a use case, clean your data, stay open to innovation. None of it tells you what to do on Wednesday morning.
This post does. AI use comes in three levels, and you can take a first step at each one this week with tools you already have.
Level 1: Assist
AI helps one person do one task faster. This is where everyone starts, and where most people use it badly. They type one vague line, get a generic answer, and decide it's not worth the effort.
The fix is to give AI what a new coworker would need: who the work is for, what you already have, and what good looks like.
Try this: Pick the document you rewrite most often, like a weekly status update. Paste this into Copilot, ChatGPT, or Claude:
PromptWrite a weekly status update for [client / leadership / my team] using these notes: [paste your notes]. Use three sections: what got done, what's next, and what needs a decision. Keep it under 150 words in plain language. Flag anything that sounds like a risk or delay. Before you write, ask me any questions you need answered.
That last line is the one most people skip. It turns AI from a guesser into a collaborator. Let it write the first 80 percent, and spend your time on the 20 percent that needs your judgment.
Level 2: Automate
Once you've used the same prompt three Fridays in a row, you've found something that can run on its own. The work still happens, but you stop being the one who starts it. You review instead of produce.
The hard part isn't the tool. It's knowing which tasks are ready.
Try this: Write down three tasks you do the same way every week. For each one, answer four questions: What starts it? What goes in? What comes out? Who checks it? For a status update, that might be: Friday afternoon, the week's notes and emails, a draft for the client, reviewed by the PM.
If you can answer all four, the task can be automated. If you get stuck on one, that's useful too. It usually means the process isn't defined yet, and no tool can fix a step nobody has written down.
Level 3: Connect
How many times a day does someone on your team copy information out of one tool and paste it into another? Email to tracker. Spreadsheet to proposal. Meeting notes to CRM. Every one of those is a person acting as the bridge between two systems. It's slow, it's where mistakes creep in, and it's invisible because it feels like normal work.
Try this: For one workday, make a tally mark every time you move information between tools, and note which two tools were involved. The pair that shows up most is your first connection candidate. Then ask AI:
PromptI copy [type of information] from [tool A] into [tool B] about [number] times a week. What would it take to connect these automatically, what would I need to decide first, and what could go wrong?
Save this: your three-step week
- Monday: Run the Level 1 prompt on real notes.
- Wednesday: Answer the four questions for three weekly tasks.
- Friday: Do your copy-paste count.
Where doing it yourself runs out
You can handle level one on your own, and a lot of level two. Level three is where most teams get stuck. Connecting systems means deciding which one is the source of truth, who should see what, and whether the process you're automating is even the right one.
That last question matters most. If a process is messy, AI just makes the mess faster. That's why Arvaya starts with process before software. We map how work actually moves through your firm, fix the gaps, and then build automations that hold up across your whole team. We also train your people, because AI can only be as good as the person who knows how and when to use it.
Start small. Try one level this week and see what you learn. When you're ready to take it further, Arvaya is here to help.
You don't need to buy anything new to leverage AI. You just need to know which level you're on.
